Pre-Planning Know-How

Important pre-planning information for large events. Council can help guide you through the legalities of pre-planning for large events.

The most important aspects are:

  • If your event is going to impact the regular movement of people or vehicles on the road, you must obtain approval from Cessnock City Council.
  • Contact council prior to lodging an application.
  • You need to consider whether your event will host over 500 people. If so, a Development Application will be required through Cessnock City Council. This application must be submitted at least 6 months prior to the event.
  • In some circumstances, approval may also be required from external authorities such as Roads and Maritime Services and the NSW Police.

If you’re from out of town, or don’t regularly plan events, finding the perfect location, the services and entertainment doesn’t need to be daunting. Plan Your Event Hunter is a platform dedicated to helping you source exactly what you need for events from small intimate groups to hundreds of people. The platform is regularly updated, features reviews on the businesses listed, helpful blogs and is easy to filter your search results by location, event type etc.

Plan Your Event Hunter is a local initiative initially funded by the Cessnock City Council Economy Grants and Sponsorship Program.

Events 10

Events10 is an events marketing initiative by the Hunter Joint Organisation, representing 10 destinations that are perfect for your next event. From the coast to mountains, this website aims to provide event managers with information and resources to make it easy and attractive to host your event in this beautiful region.

Their downloadable events planning guide provides a step-by-step process highlighting key information and considerations. Such as, how many toilets you should have per people. Other downloadable resources include templates on event surveys, risk assessment, communications plan and more.
